Why do we collect personal data from you?

In order to provide our services to you, we require certain items of personal data from you and about your child attending our sessions. If another adult is attending the sessions with your child, we require certain information about them too.

How do we collect personal data from you?

We will collect personal data about you if you fill in a registration form or contact us via email, Facebook, the website or otherwise.

What personal data do we collect from you?

We will ask for the following personal data about you, your child and, if applicable, the adult attending the session with your child:

  • Child’s name
  • Child’s date of birth
  • Parent’s name
  • Email address
  • Name of person attending the session if different from parent
  • Relationship to child of person attending the session if not parent
  • Contact number for attending adult
  • Emergency contact number for attending adult
  • Details of any medical conditions we may need to know about for your child and/ or attending adult.

If you are an existing Jack in a Box client, you may have filled in a yellow permission form. This allows Jack in a Box to transfer your personal data to Jelly Beans Bristol Limited. In this case we currently hold the following information from you:

  • Child’s name
  • Child’s date of birth
  • Phone number
  • Adult’s name
  • Relationship to child
  • Preferred class day
  • Email address
  • Child’s address
  • Details of any medical conditions we may need to know about for your child and/ or attending adult.

How will we use the personal data we collect from you?

We need to use the personal data we collect from you in order to:

  • provide our services to you, which you have requested via the booking process;
  • communicate with you about our services as and when necessary;
  • maintain session registers and contact details for emergency purposes;
  • respond to any queries, comments or complaints you may send us;
  • comply with applicable laws and safeguarding and child protection policies as set out by Bristol Safeguarding Children’s Board (BSCB); and
  • send you information by email or social media about news, activities, session themes or other items which we feel may be of interest to you.

Who will have access to your personal data?

Access to your data is limited to Rachel Hollingbery, who manages the bookings, Katie Fuge who manages the social media and other staff members who manage the activities.

How is your personal data stored?

Your data is stored on computers, with strong passwords. The data is backed up offsite to Back Blaze who do not access the information but do have a copy of it in order to store it. Any paper booking forms are kept in a locked filing cabinet at the registered office.

Who do we share your personal data with?

We will not share your information with any other organisation without your prior consent. Exceptions to this are if the law otherwise permits/ requires it or in exceptional or emergency circumstances where the sharing of information is vital to protect you, your child or the attending adult.

How long do we keep your personal data?

We will keep your personal data until the end of the academic year that your child leaves Jelly Beans

At the end of each academic year, we will review our contact list and if you no longer have a child at Jelly Beans we will delete your data, unless you request in writing that you are happy for us to keep your details on file.

If you are an existing Jack in a Box client and you have filled in a yellow permission form, these will be kept until the start of the September 2018 term and will then be confidentially deleted.
